• Ownership of the life cycle of all documentation
• Managing the processes specific to documentation within the organization
• Maintaining confidentiality of sensitive documentation
• Ensuring all documents are maintained and readily retrievable
• The set-up, copying, scanning and storage of documents
• Creating standardized templates
• Managing requests for documentation
• Managing the flow of documentation within the organization
• Filing documents in physical and digital records and ensuring appropriate storage
• Checking and editing files for layout and design
• Organizing the periodic review and maintenance of the records to ensure that they are accurate and up to date
• Liaising with and distributing project related information with all levels of the project team and relevant external parties
• The document controller may be expected to train employees. The training will focus on the purpose of the document register, document control and the correct way to create and fill out company documents. Preparing ad-hoc reports on projects when required
المهارات
• Proven work experience as a Document Controller
• Internationally recognized qualification relating to document control
• Knowledge of Electronic Document Management Systems (EDMS)
• Ability to work on own initiative with minimum supervision
• Strong IT knowledge and skills in MS office including SharePoint
• Meticulous attention to detail
• The ability to multitask
• Highly organized
• Excellent communication skills
• Proficient typing skills
• Ability to minute meetings
